The Allen County Fairgrounds is a nonprofit organization. We support the initiatives and growth of the fairgrounds by both renting the grounds and seeking sponsorships for the Allen County Fair. We are looking for a Rental and Development Coordinator to add to our team.

Position Summary:

Under the direction and assistance of the Allen County Fairgrounds Board of Directors, the Rental & Development Coordinator supports the nonprofit’s fundraising and community engagement goals by assisting with Allen County Fair sponsorship outreach, Allen County Fairgrounds event rentals, and event coordination. This role works closely with the administrative team and board to ensure smooth planning, execution, and follow-up for both revenue-generating and mission-driven events.

Responsibilities:

Event Rentals

  • Promote the fairgrounds year-round by building community connections, networking with local groups and businesses, and increasing visibility to boost rentals.

  • Respond to rental inquiries and provide basic information on rates, policies, and availability.

  • Coordinate with internal teams for facility set-up, staffing, and rental needs.

  • Work closely with the Fairgrounds Administrator to maintain the rental calendar and finalize contracts.

  • Promote outside event rentals via the organization’s website and social media channels.

Sponsorship Support:

  • Assist in identifying, researching, and contacting potential sponsors and partners.

  • Prepare sponsorship packets, proposals, and follow-up communications.

  • Track sponsor benefits and deliverables in a database.

  • Help coordinate sponsor recognition before, during, and after events.

Administrative & Team Support:

  • Maintain accurate files and databases related to sponsorships and events.

  • Prepare reports, presentations, and communications for monthly board meetings.

  • Assist with social media posts and website updates related to events and sponsors.

  • Attend and participate in monthly meetings (including the Board of Directors, Fair Committee, etc.), making suggestions, offering recommendations, and voicing his/her opinions as they pertain to the matters impacting the fairgrounds.

  • Keep abreast of current trends in programming, promoting, and the management of county fairs and fairgrounds to learn new opportunities to optimize the fairgrounds and fair.

  • Exercise independent judgment and creative problem-solving to satisfy primary responsibilities.

  • Contribute to office tasks such as answering the phone, meeting patrons and coordinating needs with vendors.

Additional Responsibilities:

  • Represent the fairgrounds at state and/or national fair conventions.

  • Develop and maintain a customer relationship management system to track historical and current donors, vendors, and lease information, along with contracts to keep all relationships and business records current and organized.

  • Grant discovery and writing

Qualifications:

  • Associate or bachelor’s degree in marketing, communications, hospitality, nonprofit management, or related field (or equivalent experience).

  • Strong written and verbal communication skills.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with CRM software is a plus.

  • Ability to work independently and as part of a team.

  • Detail-oriented, organized, and able to manage multiple tasks at once.

  • Willingness to work occasional evenings and weekends for events.

  • Ability to work varied hour during the Allen County Fair, each year in June.

Work Environment:

  • Office-based with regular on-site hours.

 

Compensation:

  • $16–$20 an hour, depending on qualifications

  • Paid holidays
